Following an extensive renovation, the Municipality of Leiden’s historic city hall is ready for the future. Alongside the renovated council chamber, a new committee room was created, with AVEX responsible for the design, delivery and maintenance of the audiovisual facilities.
The new technology makes council and committee meetings easy to follow, both at city hall and online. In this way, the new environment contributes to accessible and transparent local government.
The challenge
A reliable AV system for a historic building
The renovation of the city hall brought together several procurement projects, including the building refurbishment, replacement of the council information system and renewal of the audiovisual technology.
The new solution needed to be reliable, user-friendly and future-ready. It also had to integrate seamlessly into the historic surroundings and support specific requirements including voting, speaking-time registration, live streaming and integration with the council information system.
The limited options for installing equipment within a historic building presented an additional challenge.

The solution
Audiovisual technology that makes council meetings easier
AVEX delivered a complete audiovisual environment for both the council chamber and the committee room.
Both spaces feature a modern discussion system with individual delegate units, camera tracking and intuitive controls. Integration with the council information system enables meetings to be automatically archived and live streamed, including metadata such as speakers and agenda items.
To ensure the solution was fully aligned with users’ needs, AVEX organised an extensive Proof of Concept. Together with the council administration and future users, different scenarios were tested and the controls were tailored to everyday working practices.
Following completion, AVEX supported the organisation with a train-the-trainer programme and on-site assistance during the first meetings.
